Sending your plot and condition data to bbits

The AI² inspection app needs two lists from Rialtas Suite: plot references and inspection conditions. Export both as CSV files and send them to bbits, who load them into the app.

Before you start

Check access and licensing

  • You need access to the Allotments module in Rialtas Suite.
  • Your rent periods must be initialised.
  • The Mobile Inspections licence must be active. This makes the Short Description field available on conditions. If you cannot see it, contact Rialtas.

Export one

Plot list

Allotments › Export › Plots
  1. Go to Allotments › Export › Plots.
  2. Check the Output File name. Web users choose a filename and receive a browser download. Desktop users select Browse; the default is Plot Export.csv in Documents.
  3. In Included Fields, select at least Plot Ref and Location (the site name). Check with bbits whether any additional fields are required.
  4. Leave Save field names as header line selected.
  5. Select OK and wait for the completion message.

Export two

Inspection conditions

Allotments › Configure › Inspection Conditions
  1. Open Allotments › Configure › Inspection Conditions.
  2. Check every active condition has a concise Short Description. This is the wording shown on the mobile device.
  3. Select Export at the bottom of the screen.
  4. Check the filename. It defaults to Condition Export.csv in Documents.
  5. Leave all fields selected. bbits need ID, Long Description, Short Description, Active and List Order.
  6. Leave the header-line option selected, then select OK.

Send both files

Email the CSV files to your bbits contact

Send the plot and condition files together, even if only one list has changed. This removes doubt about which version the app is using.

Rialtas Suite displays reminders when you create a plot or add or disable a condition while the Mobile Inspections licence is active. Until bbits confirms the new files are loaded, field users will still see the previous lists.

Troubleshooting

If something goes wrong

“All active conditions require a short description”Fill in the Short Description for every active condition, then export again.
The Export button is greyed outYou are part-way through editing a row. Save or cancel your changes first.
There is no Browse buttonYou are using the cloud version. Type the filename only; the file downloads automatically.
The filename contains invalid charactersUse a plain filename such as Plot Export.csv with no folder path.
You need to correct a conditionCondition wording locks once saved. Delete and re-create an unused condition. If it has been used, disable it, add a replacement and re-send the files.
